Overview

The Administrative Assistant I position provides a variety of administrative duties to support the operations of our institute while working in a team of three for project completion. Provide coverage for each other as needed to ensure reception is constantly staffed to deliver opening, running, and closing Front Desk operations. The Admin Assistant position will be responsible for working onsite Mon - Friday; 8:00am - 4:30pm. 

Responsibilities

  • Ensures that the Administrative Services team are coordinating projects in a team approach, e.g., assist with communications in hand offs of projects to one another, reoccurring and ensuring the team are discussing and making decisions related to reception coverage for breaks/lunches and vacation
  • Assisting the front desk by answering and direct incoming calls throughout the organization
  • Greeting visitors, vendors, and guests in and out of our locked facility, including issuing temporary badges and providing parking validation as needed
  • Provide office kitchen support by taking inventory and refilling coffee, tea, and kitchen supplies, as well as performing basic maintenance, weekly cleaning, and service calls as needed for coffee machines
  • Sort and deliver mail, maintain paper and supplies, placing all company and employee supply orders, and receiving, unpacking, and organizing ordered items
  • Work closely with the Facilities Department by distributing badges to new workforce members
  • Provide services such as manage service calls, photocopying, assembling packets, stuffing envelopes, assist with special events, filing, data entry, word processing, spreadsheet creation and maintenance, creating announcements for upcoming seminars, and assisting with other department needs as directed by supervisor
  • Orders, receives, replenishes and monitors inventory of office supplies at all BRI Main copy/work room locations.  This includes two off site BRI locations located at VM properties.
  • Updates Kanban ordering system and places new office supply orders through the BRI purchasing system. Replenishment of office supplies includes copy paper for work rooms and in copy/printers daily. Tasks described are shared amongst the Front Desk Operations team  
  • Provides Administrative support to the Communication Dept. and other admin teams when requested and assigned by Supervisor
  • In a collaborative effort, supports the Accounting Dept. weekly with check payment mail processing
  • Completes cubicle and office signage based on property space allocations and assignment
  • In addition to supporting Front Desk operations, this position will be 50% mobile; Physical activity includes regular standing, walking, reaching, stooping, bending, kneeling, crouching, and some lifting up to 20lbs

Qualifications

  • Minimum of one-year relevant office experience
  • High school diploma or equivalent required, with some college course work preferred
  • Requires excellent customer service skills, attention to detail, versatility, be a willing team player and also be able to work independently
  • Understanding of how to operate photocopier, facsimile, or other office equipment

Compensation

$21.69 to $30.14 per hour
